Knowing Where the Material Is Before It Reaches the Factory

Customer :

Global Agricultural & Industrial Equipment Manufacturer

For a large manufacturing organization, a vehicle leaving a supplier is only the beginning of the journey.

The material still has to travel to the factory, sometimes through consolidation points, sometimes changing vehicles along the way. Meanwhile, buyers are planning production, suppliers are following up on dispatches, transporters are managing vehicles, and factory teams are preparing for incoming material.

The challenge was simple: everyone needed to know what was happening to the shipment while it was on the road.

Challenge :

Once material left the supplier, visibility became difficult.

A buyer might know that a shipment had been dispatched, but not necessarily:

  • Where the vehicle was right now
  • Whether it was still carrying the expected shipment
  • When it was likely to reach the factory
  • Whether multiple shipments had been consolidated
  • Whether a vehicle had been changed during transit
  • Whether the factory should start preparing for its arrival

With different suppliers, transporters and GPS service providers involved, getting a reliable picture often meant depending on individual updates and manual coordination.

The organization wanted to move from “calling to find out” to “logging in to know.”

BrainWave's Solution :

BrainWave (BWC) developed a Material Movement Visibility solution that connected the different people and systems involved in the journey from supplier to factory. Instead of treating GPS tracking as a standalone application, the solution connected the shipment with the vehicle, the vehicle with its live location, and the movement with the factory’s receiving process.

One connected journey Supplier (Creates shipment and associates the material with the vehicle) Transporter (Manages vehicle, driver, consolidation and vehicle changes) GPS (Provides the vehicle’s live location) Supply Chain / Buyer (Views the shipment, vehicle location and expected arrival) Factory Dock (Tracks arrival and completes the material movement).

Making the Information Useful :

The solution brought together information from multiple GPS providers and presented it through a common platform.

A buyer no longer had to piece together information from different sources. They could see the vehicle’s movement on a map, identify the associated shipment and use the available information to understand its expected arrival.

For the transporter, the platform provided a structured way to manage vehicles and shipment changes.

For the factory, visibility of approaching vehicles meant better preparation at the receiving dock.

The technology connected the systems, but the real improvement was connecting the people around the shipment.

From Tracking to Predictability :

The objective wasn’t simply to put a truck on a map.

The solution used vehicle movement information to provide ETA visibility, helping teams understand not just:

“Where is the vehicle?”

but more importantly:

“When should we expect the material?”

That small change can make a significant difference to planning and coordination.

Impact :

The solution created a common digital view across the inbound material movement process.

  • For Supply Chain Teams
Better visibility of material in transit and expected arrivals.
  • For Suppliers
A structured way to communicate shipment information.
  • For Transporters
Better management of vehicles, drivers and shipment movements.
  • For Factory Teams
Greater visibility of incoming vehicles and dock activities.
  • For the Business
Less dependence on manual status updates and a foundation for scaling material visibility across a larger supplier network. The architecture was designed with the potential to scale beyond the initial implementation to 250+ suppliers and multiple manufacturing locations.

The Bigger Picture :

This wasn’t just a GPS tracking project.

It was about giving people across the supply chain the same version of the truth from the moment material leaves a supplier to the moment it reaches the factory.

Because visibility is valuable only when it helps people make better decisions.
